Weather Cancellation & Game Rescheduling Procedures

If games are scheduled at school fields, school admin (Principal or Designate for Athletics/AP/VP/AD) can close their field and cancel the game at their school same day due to current field conditions. An email is required by noon from school admin to the CSHSAA Executive Director and Administrative Assistant to confirm the closure and cancellation.

If games are scheduled at public/city fields, CSHSAA will check the Check The Status of a Field page with the City of Calgary to confirm if their venue is closed and games need to be cancelled for the day.

CSHSAA will send an email notice as school field closures are received for games scheduled at school fields. For games at public/city fields, CSHSAA will notify the teams impacted by the closure as soon as the information becomes available on the field status webpage.

When games are cancelled, coaches must liaise with each other to agree to reschedule details and submit a Game Change Request Form to have their game rescheduled.

CSHSAA does not cancel games or meets prior to start time due to rain or cold; only if the public/city fields get closed to us. Unless a cancellation is sent out in the noon hour for a game, coaches and teams are advised to go to the game venue. Officials will call a game during play if lightning is present (or prior to starting the game at the venue).

If the weather and/or field conditions are felt to be unsafe at the game venue (either prior to the start or during the game), the Admin Supervisor and coaches present at the game should liaise with officials to make the decision if the game should be called.

A blanket cancellation of all athletic events due to weather will only be communicated if the CSHSAA is directed to do so by both the Calgary Board of Education and Calgary Catholic School District.
GAME RESCHEDULING
- Coaches are asked to review their regular season schedule ASAP after it is posted and to start working right away on reschedules for any conflicts they already know of.
- Game Change Request Forms (available on the website under the Coach/AD Info menu) must be emailed to the CSHSAA office (denae.larocque@cssd.ab.ca) for all game change requests – regular season game change requests should be submitted at least 1 week prior to the date being cancelled. Coaches are to contact the opposing coach and find a new agreeable date and/or time for the game prior to submitting the form.
- Doubleheader games involving the same teams must be rescheduled together.
- Coaches are asked not to request reschedules into the last week of the season where possible; leaving it open for potential reschedules needed due to weather cancellations.
- If submitting one form for a doubleheader, ensure to indicate the game time for each game ie: Jr-5:30/Sr-7:30
- For Spring Sport Playoffs: Information is collected annually from Athletic Directors via the Spring Conflicts Survey; where each school confirms conflict dates they have for the season; including Graduation Events. We will work around and address all conflicts for Graduation Events as received from Athletic Directors in the Spring Conflicts Survey [Grad Ceremony, Dinner/Dance, Grad 12 Retreat etc.], but we cannot address all conflicts that teams may have for other events; especially in the Spring season.
